Half-yearly fleet update for Belgian excise refund

Thanks to relatively low diesel prices and favourable location, Belgium is an attractive country to refuel for many international transporters based in the Netherlands. As an international transporter you are probably familiar with the possibility of a to recover part of excise duties on energy products such as diesel in among others Belgium.

To qualify for partial refund of excise duty on diesel, you must comply with the requirements of the manual "professional diesel". One of the requirements is timely transmission of changes in your fleet, in particular the vehicles that fuel in Belgium and for which you apply for a refund. This is often overlooked but may lead to significant delays or even partial rejection of refund.

It is important to pass on the following changes to your fleet to the service "professional diesel":

• Additions of new vehicles at the fleet

• Deletion of vehicles from the fleet

• Amendments in the designation of vehicles

• Extension of vehicle rental or leasing contracts You must make the changes in writing by post (e-mail is not accepted). To add new vehicles to your fleet, please send the following documents:

• A copy of the registration certificate

• (Where applicable) with a leasing vehicle: a copy of the lease contract (please note, only documents in Dutch, German or French are accepted; otherwise an sworn translation is required)

• (Where applicable) if the vehicle is registered in the name of an entity other than the entity for which the refund is requested, for example in the name of a holding company: a copy of the rental contract, signed by a representative of both entities. If you remove a vehicle from your fleet, please indicate in the letter which vehicle it is. In case of a change in the designation (e.g. when purchasing), add a copy of the new registration certificate. In the event of renewal of a lease or lease, please specify the vehicle concerned and send a copy of the extended lease or lease contract. The directive is to give at least once every six months an update of your fleet to the service professional diesel in case of changes.
